The business
AU79 Cafe operates multiple locations with a management team responsible for daily operations. Each manager was spending the first two hours of every shift on admin: checking the previous day's sales report, placing stock orders, sending out the day's roster to staff, and reviewing labour costs.
The tools were all in place: a till system, a scheduling platform, and a supplier ordering portal. But none of them talked to each other.
The problem
Every morning, each site manager was manually:
- •Pulling sales numbers from the till and building a daily report in a spreadsheet
- •Comparing stock levels (estimated) against sales and creating manual purchase orders
- •Sending the day's roster to staff individually via text or email
- •Compiling a weekly labour vs. revenue summary for head office
With three managers across multiple locations, this was 6+ hours of combined admin per day.
What we built
01. Automated daily sales report
Each morning at 7am, a sales summary for the previous day is automatically pulled from the till, formatted, and emailed to each site manager and the operations team. No spreadsheet, no manual pulling it all together.
02. AI-assisted stock ordering
Based on how fast items are selling, purchase orders are automatically drafted and sent to suppliers when stock runs low. Managers review and approve them rather than building orders from scratch.
03. Roster distribution automation
Published rosters from the scheduling tool are automatically sent to each staff member via SMS and email at the start of each week. No manager action required once the roster is published.
04. Weekly labour vs. revenue summary
Every Sunday evening, a labour cost vs. revenue summary is put together automatically from the scheduling and till systems and sent to head office. Previously took 45 minutes per site per week.
The result
From week one after launch, managers consistently reported saving their first 2 hours of each shift. The morning reporting workflow alone eliminated 45 minutes per manager per day.
Head office noted that the weekly labour summary became more accurate immediately. Small errors in manual compilation used to be common, and the automated version pulls directly from source data.
