Our process

From first conversation to working automation.

Four steps. Clear timeline. Fixed price at step two. No open-ended commitments.

01

Day 0 · Free

Free Workflow Audit

A 45-minute video call. We guide you through a structured review of your current workflows: which tools you use, where data moves, and where your team spends time on repetitive tasks.

We do this free because it's the only honest way to assess whether automation will help. We've turned down projects where it wasn't worth the cost, and we'll do it again. You'll leave the call with a clear picture of what's possible, whether or not you proceed with us.

What you get

A verbal assessment of your top automation opportunities and an honest view of whether each one would be worth the cost.

What you do

Show up with a rough idea of which tasks feel most repetitive. We'll take it from there.

02

Day 3–5

Fixed-Price Proposal

Within 3 business days of the audit, you receive a written proposal. It covers the exact scope of what we'll build, which systems we'll connect, a clear deliverables list, a timeline, and a fixed price.

No hourly billing. No "it depends on what we find." You know what you're getting and what it costs before we start. The price in the proposal is the price you pay, unless you ask us to change the scope, in which case we'll always quote that separately before doing it.

Typical proposal includes

  • Scope of work (what we'll build, what it will do)
  • Which programs need to be connected and how information should move between them
  • Project timeline with milestones
  • Fixed total price (split into a deposit + final payment)
  • What's excluded and how out-of-scope work is handled
03

Week 1–4

Build & Test

We build everything using your real programs, not a separate practice version. We don't use made-up sample information, because it doesn't behave the same way your actual data does.

At key points along the way, we show you what we've built and walk you through how it works. You're not left waiting in the dark for a month and then handed a finished product. You're involved throughout.

Before we switch it on, we test it thoroughly: we check unusual or messy situations, what happens if something goes wrong, how it copes under heavy use, and that nothing gets lost or duplicated along the way. We don't consider it finished until it works exactly as it should.

Week 1

Setup & connections

Week 2–3

Build & iterate

Week 4

Test & launch

04

Day 30+

Handover & Support

We write clear documentation covering what was built, how it works, what triggers what, and what to do if something looks wrong. It's not technical documentation for developers, but plain-English documentation for business owners.

We walk your team through the automation, answer their questions, and make sure everyone understands what's running. All projects include 30 days of post-launch support, so if something behaves unexpectedly in the first month, we fix it at no additional charge.

After the 30-day support period

Our Managed Services plan covers ongoing monitoring, software maintenance, and minor adjustments as your business and tools evolve. Most clients continue on managed services because it's significantly cheaper than fixing issues reactively.

What makes this different from other automation providers

Fixed price, always

No hourly billing. You know the total cost before we start. The only way the price changes is if you ask for something outside the agreed scope, and we'll always quote that separately before touching it.

We work with what you have

We don't have platform partnerships that incentivise us to recommend new software. We connect your existing tools. If a new tool genuinely would solve your problem better, we'll tell you, and it won't change what we charge.

We'll tell you if automation won't help

If it's not worth doing, we say so in the free audit. Some businesses aren't ready for automation yet. Sometimes the manual process is actually the most efficient option at their current scale, and we'll tell you that honestly.

30-day delivery commitment

Most projects go live within 30 days. We put this in writing. If we miss a milestone for reasons within our control, we'll tell you immediately and update the timeline honestly.

You're involved throughout

We don't disappear for a month and come back with a finished product. You see progress at each milestone and have the opportunity to flag issues before they compound.

Documentation you can actually use

We write handover documentation in plain English, not technical jargon. A new team member who wasn't involved in the project should be able to understand what's running and why.
